Routines That Save Me Minutes and Add Up.
I am sure we all wish we had more time. AI is heralded and on everyone’s lips, but no kidding—AI can give you exactly that. Over the past few months, after my CAIP certification, I’ve been refining simple daily AI routines that help me streamline my work, cut through clutter, and free up valuable hours.
This isn’t about replacing human thinking—it’s about enhancing it. Here’s my go-to AI-powered routine that anyone can implement today…… it’s all in the use case and the prompting.
Minute 1: AI-Powered Email Drafting
Instead of spending time drafting emails from scratch, I use AI (ChatGPT, Grammarly, or even built-in email AI tools) to generate a structured, professional email within seconds.
- How? I provide a short prompt: “Draft a concise, professional email requesting a meeting to discuss project updates.”
- Result? AI generates a draft that I quickly tweak and send, saving 5-10 minutes per email.
Minute 2: AI Summarization of Key Information
We all drown in reports, emails, and long documents. Instead of reading everything, I let AI do the heavy lifting.
- Tool: ChatGPT, Perplexity AI, or Notion AI
- Process: I copy-paste the content and prompt for a one-paragraph summary with key takeaways.
- Time saved? At least 15-30 minutes per long document.
Minute 3: AI-Powered Task Prioritization
I ask AI to help me structure my workday.
- How? I list my actions with due dates and impact class and prompt: “Prioritize these based on usgency and impact.”
- AI Response: A structured plan that prevents decision fatigue and keeps me focused.
Minute 4: AI for Quick Research & Insights
If I need a fast answer or industry trend update, I use AI instead of manually Googling.
- Example Prompt: “Please set out in tabular format the consolidation software industry leaders, set out their pros and cons, rank them, and explain why you gave them their ranking.”
- Time saved? Hours of digging through blogs and articles.
Minute 5: Automating Repetitive Tasks
From scheduling meetings to data entry, automation is a game-changer.
- Tools: Zapier, Microsoft Power Automate, Notion AI
- Example: Use Zapier to auto-save email attachments to Google Drive.
- Impact: Small automations add up to huge time savings.
The Results: Hours Saved Every Week
By following this 5-minute AI routine, I’ve reclaimed at least 5-7 hours per week—time that I can reinvest into deep work, strategic thinking, or even just unwinding.
